Purpose
This procedure outlines the processes and responsibilities for developing, distributing, and maintaining course syllabi in alignment with the Syllabus Policy. Required syllabus components are defined in the Syllabus Policy and are not duplicated in this procedure.
Narrative
1. Instructor Responsibilities
Instructors are responsible for developing a syllabus for each course section they teach in accordance with the Syllabus Policy. Each syllabus must include all required institutional statements and content as defined in the policy and, at a minimum, will include the following components:
- The course title, course registration number (CRN), course number, and approved catalog description
- Current academic term, dates of course, course days/times/hours, location and/or modality
- Instructor’s name and contact information
- The course objectives and course learning outcomes as approved and published in the academic catalog
- Final exam date, time, and location, when available
- Course pre- and/or co-requisites and/or course placement information
- Accessibility notification (see Disabilities: Accessibility Statements for Students and Community)
- Link to Student Code of Conduct (see Academic Integrity))
- Course-specific academic integrity statement that addresses appropriate use of generative AI technologies
- The instructor's office hours (see Instructor Hours on Campus Policy)
- The instructor's grading policies, including grading breakdown, e.g., “97-100% = A+”
- Late work policy
- Attendance and participation definitions and expectations
- General assignments, quizzes, tests (graded evaluations)
- Field trips, class requirements outside of designated class time/modality, and other optional activities for the class
- A list of the textbook(s) and reference/instructional materials used in/required for the course
- Any required tools or supplies, including computer hardware or software programs beyond those provided by the course and institution
2. Distribution to Students
Syllabi must be made accessible to all enrolled students using the course’s designated delivery method (e.g., learning management system or other modality) by the start of the course or earlier. Instructors are responsible for ensuring that students can readily access the syllabus throughout the duration of the course.
3. Departmental Oversight
Instructors will submit a copy of the syllabus for each course section by the end of the first week of each term to the home academic department in a manner determined by the dean. Deans will establish processes for collecting syllabi and ensuring alignment with policy and procedure requirements.
Academic departments are responsible for maintaining access to syllabi for purposes such as accreditation, licensure and program review.
4. Accessibility
Syllabi must be provided in a format consistent with institutional accessibility standards. Instructors are encouraged to use available tools and resources to ensure accessibility and compliance with applicable policies and regulations.
