Purpose

This procedure outlines the responsibilities of Lane Community College Employees in ensuring that marketing materials, such as brochures, flyers, posters, and electronic collateral, adhere to the college’s standards, maintaining accuracy and promoting a positive image of the institution.

Narrative

Lane Community College Employees play a crucial role in ensuring that marketing publications, including brochures, accurately reflect the college’s standards. It is imperative that these materials:

  • Present precise and verifiable information.
  • Use correct spelling, punctuation, and grammar based on Associated Press Style (AP).
  • Employ design and photography/videography that positively represent the college.
  • Verify legal use of photographs, videos, animations and graphics by having photo and video releases on file for any persons shown and documentation about the use of graphics obtained from outside sources.
  • Correctly incorporate the current college logo.
  • Adhere to state and federal regulations.

All publications, print and digital, must include essential contact information, such as a phone number, email address, and/or web address. Additionally, they must carry an accessibility notice as noted in the COPPS Procedure Disabilities: Accessibility Statements for Students and Community except where the accessibility statement is provided as a part of the platform (eg digital signs).

Design and Production

The design and production of such digital and print publications can be undertaken by both the Printing/Graphics department and the Design and Media Center. This offers flexibility in how materials are created and ensures access to a range of design services and expertise. The Marketing and Public Relations department is available to provide guidance on writing, design, and to supply photographs for department publications where available. High-Visibility Materials Off Campus

Given their significant impact and visibility, posters, banners, and other materials of this nature intended for display beyond campus boundaries require prior review and approval of placement locations by the Marketing and Public Relations department before their production. This ensures consistency in messaging, design quality, and compliance with the college’s branding and legal standards, as well as adherence to local ordinances and guidelines regarding signage.

Guidelines for Collateral Materials

  1. Content Accuracy:
    • Ensure all information presented is accurate and verifiable.
    • Use proper spelling, punctuation, and grammar.
  2. Design and Photography:
    • Utilize high-quality design and photography that positively represent the college.
    • Ensure legal use of images and have signed photo/video release forms on file for all persons shown.
  3. Logo and Branding:
    • Correctly incorporate the college logo in all materials.
    • Follow guidelines on logo usage, available in the branding guidelines.
  4. Compliance:
    • Adhere to all state and federal regulations.
    • Include necessary statements, such as the accessibility notice and affirmative action statement.
  5. Contact Information:
    • Include essential contact information, such as a phone number, email address, and/or web address.

Review and Approval Process

  1. Submission: Submit all materials to the Marketing and Public Relations department for review at marcomm@lanecc.edu.
  2. Review: The Marketing and Public Relations team will review the materials for accuracy, clarity, design quality, branding consistency, and regulatory compliance.
  3. Feedback: The team will provide feedback and necessary revisions to ensure the materials meet all criteria.
  4. Approval: Once the materials meet all requirements, the Marketing and Public Relations department will grant approval for production and distribution.
