Purpose

The purpose of this policy is to establish guidelines for the management, use, and security of digital identities for faculty, staff, students, and affiliates at Lane Community College (LCC). Digital identities are essential to students and employees;  they enable access to educational resources, official communications & notifications, and allow them to engage with the college community. This policy ensures the secure and efficient use of digital resources, compliance with legal and insurance requirements, and the safeguarding of institutional and personal data.

Narrative

Digital identities at Lane Community College are essential for secure access to technology resources. The Information Technology (IT) Division leads digital identity management—creating, maintaining, and securing credentials—while ensuring compliance with legal, cybersecurity, and insurance requirements. Human Resources, Student Affairs, Academic Affairs, and all other LCC Divisions and Departments will work in close partnership with IT to:

  • Update and align user access based on role and employment changes.
  • Ensure that onboarding and offboarding processes accurately reflect access needs.
  • Support a secure, need-to-know system with proper authentication (eg, passwords, Multifactor authentication (MFA)) and prompt incident reporting.
  • Engage in regular training and audits to maintain robust digital security.
  • Ensure constituent groups are granted appropriate access.
  • Ensure that an easy-to-follow process exists for resolving identity and access problems.
  • Regularly review procedures related to identity management to ensure they remain relevant, findable, and user-friendly.

Policy Scope:
This policy applies to all services that authenticate against LCC’s central identity services. This policy aligns with and upholds the rights established in LCC’s Privacy policy and Information Technology Use, Rights, and Responsibilities policy.

 

Definitions

Digital identity - the unique, electronic representation of an individual, such as a student, faculty member, staff, or contractor, within the institution's digital ecosystem. It is used to verify and authorize access to systems, services, and data managed by IT. This identity combines your verified personal information, login credentials, and assigned roles to ensure secure and appropriate access throughout your time with the institution.
