Purpose of Classification:

Responsible for the evaluation, interpretation and articulation of transcripts and degrees within the guidelines and policies established by the college, accrediting agencies, and Department of Education. Create transparency for a student’s educational pathway by updating our degree audit software as the curriculum changes. Communicate with departments to assess degree audit results and create solutions to help students graduate. Provide expertise, guidance, and training to departments, deans, and committees regarding substitutions/waivers, issues with degree programs over the academic year, and department expertise on designated committees. The Degree and Transcript Evaluator 1 is the decision-making body who awards the degree and is entrusted with the responsibility of ensuring integrity in this process.

Essential Functions:

Perform degree audits and award degrees when applicable to ensure accuracy in requirements that result in a degree completion. This requires collaboration with faculty and staff on outcomes and critical thinking to create solutions if degree requirements are not met. Use of software such as myGradPlan (Degreeworks) to audit the degrees and Ellucian Banner to award them. Responsible for determining whether a student has met all the requirements to graduate, resulting in a credential at our institution.

Review, assess, and articulate transcripts from other institutions to determine how they fit into Lane Community College’s degree programs while maintaining compliance with college and state requirements as well as industry standards. This process includes use of software such as Ellucian Banner and TES (Transfer Evaluation System). Process a high volume of transcripts, at a high level of professional judgment and critical thinking.

Evaluate transcripts consistently and accurately across departments is critical to the student experience, success in the classroom, and integrity of the institution. Make decisions that affect students meeting the right pre-requisite requirements as well as equivalencies to meet graduation requirements; this process also requires the assessment follows the college, state, and Department of Education policies.

Scan and properly index incoming transcripts to be applied to a student’s record and viewed by students and staff. Scanning and indexing requires the use of multiple systems.  

Process student requests to update their program of study. Review and adjust manually requests while maintaining compliance with financial aid and college policies. Guide and train academic advisors on the policies for changing a student’s program and the process that must be followed.

Respond to student and staff inquiries though multiple systems.

Approve or deny exceptions/substitutions sent by advisors, program coordinators and Deans, which adjust the requirements of a degree while ensuring that policies set by the institution and state are maintained.

Lead and organize work for ARRC and participate in other committee work on campus as needed.

Minimum Qualifications:

A Bachelor’s with coursework in education, curriculum, human development, human resources, business or liberal arts is required currently. One (1) year of related student records and transcript evaluation experience, which included considerable public contact, is also required

Physical Demands:

While performing the essential functions of these positions, employees in this classification are frequently required to sit, stand, walk, bend, kneel, stoop, twist, crouch, climb, balance, see, talk, hear, and handle, control and manipulate objects. Manual dexterity and coordination are required for over half of the daily work period, which is spent sitting while operating usual office equipment and driving. Work involves concentrated mental and visual attention for sustained periods of time. Positions in this classification require mobility including the ability to lift and/or move materials under 5 lbs. daily, 5-25 lbs. occasionally, and over 30 lbs. rarely. This position requires both verbal and written communication abilities.

While performing the essential functions of these positions, employees in this classification are primarily working indoors in an office environment. The noise level in the work environment is usually moderate and lighting is adequate.

Work requires daily attendance at the designated working location.

Tools and Equipment Used:

In performing the essential functions of the position, the following tools and equipment may be used: laptop and desktop computers, various computer hardware and software, copiers, printer, scanners, fax machine, telephones, and other related tools and equipment.

Supervision:

Reports to and works under the general direction of the Registrar. Work is performed independently according to established program or degree requirements, College procedures and professional judgment. Positions in this class are responsible for establishing their own work procedures and priorities within broad guidelines. Many job assignments are self-generated based on knowledge of work processes and results that must be achieved. Work is performed independently based on previous knowledge and professional judgment according to local, state and federal regulations, applicable laws, and college policies. Work results are evaluated periodically by manager to assess results obtained and for conformance to overall program goals and professional standards.

Positions in this classification may have the responsibility to assign task, provide priorities, train and monitor the work of other staff. Some positions may plan, assign, approve, instruct, set priorities and schedule the work of staff in the absence of the supervisor. Positions may also have substantial input into performance evaluations and hiring decisions.
