Purpose

This procedure describes the steps to be taken by employee, employee's supervisor, and Human Resources when an employee resigns. The President delegates to Human Resources the authority to accept resignations on behalf of the College.

Narrative

Employee Responsibilities

  1. Provide written notice of separation.  Employees are expected to provide written notice to their supervisor at least 10 working days in advance.  The notice can be in the form of an email sent to their direct supervisor with a copy to Human Resources, or submission of the Resignation/Retirement Notification form, and should include the following information:
    • Last day of work;
    • Last day of employment (if the employee plans to use paid leave beyond the last day of work); and,
    • Reason for resignation (retirement, other employment, dissatisfaction, change of residence, family obligations).
  2. Submit final timesheet(s).
  3. Schedule an exit interview with the Vice President of Human Resources and Labor Relations and/or complete an online exit survey.

Supervisor Responsibilities

Full-time Contracted Employees

If the employee is in a budgeted position, the supervisor is responsible for completing the following steps:

  1. Notify Human Resources of the resignation immediately so that the final paycheck can be prepared according to the requirements of the Bureau of Labor and Industries (BOLI).
  • When at least 48 hours of notice is given, excluding Saturdays, Sundays and holidays, the paycheck is due on the final day of work.  If the final day worked falls on a Saturday, Sunday or a holiday, the check is due not later than the end of the next business day.
  • When the employee quits without notice, the final paycheck is due within five days, excluding Saturdays, Sundays and holidays.  If, however, a regular payday occurs within the five-day period, the employee must receive all wages due at that time.
  1. Review and approve final timesheet(s).  Human Resources will generate the Personnel Action Form for final payment of wages.
  2. Ensure all college equipment, key card, and building keys have been returned.
Part-time Employees

If the employee is an hourly employee, the supervisor is responsible for completing the following steps:

  1. Notify Human Resources of the resignation immediately so that the final paycheck can be prepared according to the requirements of the Bureau of Labor and Industries (BOLI).
    • When at least 48 hours of notice is given, excluding Saturdays, Sundays and holidays, the paycheck is due on the final day of work.  If the final day worked falls on a Saturday, Sunday or a holiday, the check is due not later than the end of the next business day.
    • When the employee quits without notice, the final paycheck is due within five days, excluding Saturdays, Sundays and holidays.  If, however, a regular payday occurs within the five-day period, the employee must receive all wages due at that time.
  2. Submit a Personnel Action Form to remove the employee from the department payroll.
  3. Review and approve final timesheet(s).
  4. Ensure all college equipment, key card, and building keys have been returned.

If the employee is a part-time credit instructor, the supervisor is responsible for completing the following steps:

  1. Notify Human Resources of the resignation immediately so that the final paycheck can be prepared according to the requirements of the Bureau of Labor and Industries (BOLI).
    • When at least 48 hours of notice is given, excluding Saturdays, Sundays and holidays, the paycheck is due on the final day of work.  If the final day worked falls on a Saturday, Sunday or a holiday, the check is due not later than the end of the next business day.
    • When the employee quits without notice, the final paycheck is due within five days, excluding Saturdays, Sundays and holidays.  If, however, a regular payday occurs within the five-day period, the employee must receive all wages due at that time.
  2. If the employee is resigning prior to the completion of the assignment, submit an updated Part-time Statement of Appointment Form. If the employee is resigning at the end of the assignment, submit a Personnel Action Form to remove them from the department payroll.
  3. Review and approve final timesheet(s).
  4. Ensure all college equipment, key card, and building keys have been returned.
